Multi-entity capabilities

Company switcher

Serving clients with multiple entities has never been easier with Intuit Enterprise Suite. From your dashboard, there's a drop-down menu where you can toggle between all of your clients; in your clients’ view, they’ll simply see their own entities.

Manage user permissions

You can manage users within each entity. By selecting “Modify Company Access,” you can go one by one and give each user different roles per entity, or select all users and assign them one role. For example, with one click, you can assign bookkeeper roles to multiple users across all related entities.

Accounting and reporting

The new multi-entity option in Intuit Enterprise Suite has three shortcuts on the navigation panel:

  1. View organization: This looks at a company’s hierarchy, which shows the header as the parent company and its children underneath it. Intuit Enterprise Suite currently supports up to 100 parent and child entities.
  2. Intercompany journal entries: When managing intercompany accounts, you can select the chart of accounts that should be automatically eliminated when you do your consolidated reporting. And with intercompany journal entries, which are exclusive to Intuit Enterprise Suite, you can see the familiar journal entry form, but with a new column labeled “company,” so you can choose which company to post the journal entry to.
  3. Multi-entity reports: To run a multi-entity report with consolidated financials, you can use Spreadsheet Sync to create custom consolidated reports. Simply check off which entities you’d like integrated into the report, from balance sheets and P&L reports, to trial balances and cash flow.

Added dimensions

Intuit Enterprise Suite’s updated classes' functionality boosts your dimensional accounting capabilities. You can now create up to 20 user dimensions, such as customer type, project, utilities, and more. When it comes time to allocate an expense, you can code individual transaction forms according to your new dimension fields, easily allowing you to slice and dice custom reports.

With the new “reclassify” tool, you can also go back and reclassify bulk historical transactions so they’re allocated to their respective new dimensions. This way, you can run a P&L report, custom report, or a budget with your new dimensions and have data allocated historically.

Industry customization

On your Intuit Enterprise Suite dashboard, there are a variety of KPI widgets, including project progress, profit and loss, project expenses, unbilled charges, and more. Now, you can add or remove core financial widgets, such as accounts payable, accounts receivable, expenses, and cash flow.

If you notice an anomaly in a widget and want to drill down deeper, click on the widget to open a more detailed overview to get to the bottom of it.

In the Reports tab, there’s also a new section called “Recommended for your industry,” with suggested reports that might be useful to your client, such as cost to complete project, estimates vs. actuals by project, and many more.

Project management and financials

Project manager role

Intuit Enterprise Suite now offers a new project manager role specifically for project-based businesses. From a sales perspective, the person in this role can view a range of sales transactions, but can only create and edit estimated expenses, unless you customize their user permissions to give them more access, that is. Those in bookkeeping roles can view bank deposits, but little else—unless you adjust their permissions.

Dashboards and KPIs

By opening Projects in Intuit Enterprise Suite, you’ll be shown a project dashboard with all the key KPIs based on project financials. This dashboard can also be customized, allowing you to see estimates vs. actual income, actual income vs. costs, and other areas.

Workflows

Intuit Enterprise Suite's workflow automation feature offers four new workflows specifically developed for project financials:

  1. Project expenses reminder: Get updated when a project's expenses are higher than its estimated costs.
  2. Project profitability reminder: Get updated when the actual profitability is less than what was estimated.
  3. Get reminded about projects: Remind specific people to update project info, like delays and due dates.
  4. Notify about project invoicing: Notify specific people to invoice when project progress hits a set percentage.

Profitability monitoring

Another new section called Profit Margins uses AI to forecast projects. You’ll be able to get back on track with AI-powered root-cause analysis, giving you a description of the issue, evidence in the form of a report, and then insights and suggestions about what your client can do to remedy the issue and improve profitability.

Task management and change orders

You’ll be able to manage tasks directly within each project. You can assign tasks to individual colleagues or client contacts, link change orders to projects, and use integrations with third-party apps such as Knowify and BigTime.

Financial planning and analysis

AI-powered forecasting

AI is Intuit Enterprise Suite’s superpower. With it, you can receive reports that look at the last five years of P&L data, for example, to forecast out the next two years. You can also edit forecasts to make specific changes. For example, say you know your client will be making an investment, or a new type of expense is going to come up soon. You can factor this into your forecasts to help your client make more informed business decisions.

Budget tasks and approvals

The slate of financial planning and analysis tools also allow you to prepare new budgets, where you can edit specific cells and create tasks for people to review budgets by a specific date.
